How do you find and secure new vendor, negotiate a contract that holds the new vendor accountable, and manage the entire transition with minimal impact on your organization.

Patricia uses a case study that shows how to

  • Effectively managed communications when the current vendor is part of and RFP process.
  • Identify the best vendor, conduct negotiations and finalize a contract that holds the vendor accountable for certain standards of customer satisfaction.
  • Plan and manage the transition period to ensure the new vendor is ready to perform at the end of the transition period with minimal amount of customer impact.

More importantly, Patricia shows how to run the entire transition from one vendor to another as a project with its initiation, planning, execution, and closeout phases.

Patricia Garofano, PMP, is a project management consultant and trainer with over 20 years of project management and leadership experience. She is PMP, ITIL, ScrumMaster and MS-Project certified. She is a graduate of the PMI Leadership Institute Masters Class and a volunteer with the PMI Educational Foundation. She has worked for such organizations as Microsoft, Royal Caribbean Cruise Lines and the Canadian Imperial Bank of Commerce.

Patricia Garofano’s volunteer experience with PMI includes serving on the PMI South Florida Chapter Board of Directors for many years.  She received a Recognition of Excellence Award from PMI for the year she was President.  She currently serves on the board of the PMI Learning, Education and Development Community of Practice (LEAD CoP) as the Marketing Lead.  She is a graduate of the PMI Leadership Institute Masters Class and a volunteer with the PMI Educational Foundation.

Her career includes implementing project management best practices, managing software development, systems integration and business process re-engineering projects using waterfall and Scrum methodologies.  Patricia is President of PLG Consulting and provides teaching and consulting services to clients in a wide variety of industries including software, travel, retail, insurance and financial services.

    Another great interview! I liked Patricia’s observation, “Knowledge is no longer in house … You need to think about how you’re going to handle that.” That’s one of the unmentioned side-effects of business process outsourcing – it’s almost impossible to bring an out-sourced function back in house.

    Another resource to mention is “Request for Proposal: A Guide to Effective RFP Development” by Bud Porter-Roth, published in 2002, but still the best available.

    Thank you so much for the great comment and resource. You are so right in saying that one of side-effects of business process outsourcing is the loss of in-house subject matter expertise that it is nearly impossible to build in a short period of time. Especially when you need to take a system back from outsourcing vendor. Thank you for the resource on the RFP development. Like Patricia mentioned, more and more private sector companies are using RFPs now to select vendors. I still notice that most of the information available on vendor selection process is from public sector larger procurements.
